Frontline Absence Management Administrator Guides

As a follow up from our Principal’s Meeting on Friday, please see below and attached for Frontline/Absence Management Guides for Supervisors.

1. Editing PD Absences – PD entries will default to being charged to the primary building or department assigned to the employee in Frontline. If another building or department should be charged for the PD absence, this guide will outline the steps required for you to edit a Professional Development absence to denote that. While the accounting code itself cannot be edited, the notes will be helpful to our teams to ensure proper coding.

2. Reconcile Absences – Reconciling an absence confirms your acknowledgement that the person was absent and also gives you insight into the details of the absence (Leave Type, Vacancy or Specific Employee, Sub Assigned, etc.) This guide will outline the steps required to reconcile absences.

3. Monthly Summary – Fill rates by building are available at any time through the Campus User dashboard for reports. This guide will outline the steps required to access the reporting section and run the Monthly Summary report.

Centralized Intake for Alternative High School

The??first quarter is rapidly drawing to a close. Counselors,??Administrators and KCKPS??Staff: If??through discussions with parents and students regarding grades and credits??you find there is a need to??explore Alternative High School Pathways, please note the following:
Centralized Intake for Alternative High??School??will take place on??Tuesday,??October 23, 2018??at the KCKPS??Central Office and Training Center.
(The next Centralized??intake opportunity is after??the close of the 2nd quarter on??January 15, 2019)
Appointments are required??and??can be scheduled by calling??Noemi Sanchez, Student Services Bilingual??Administrative Assistant??at 279-2249.??
Please encourage families to make their own appointments??as they??know the??times that??works best for them. However, if you do??call to make an appointment for a student, please know??Student Services will not be contacting families to let them know you have scheduled an appointment for them. You are responsible for letting families know the following:
  • The date, their appointment time,??and location of Centralized Alternative High School Enrollment
  • To be????on time.
  • The process will take around 2-3??hours.
  • Students under 18??must??be accompanied by a parent/legal guardian. Students 18 and over may attend by themselves.

?? ?? ?? ?? ?? At the Centralized??Intake:

  • Students and Parents receive information about District Alternative schools, Virtual High??Schools outside the District and Community GED Programs.
  • Students??complete a Reading Comprehension Assessment. Students??must demonstrate a 6th grade??reading/comprehension??level??to be eligible to attend a KCKPS Alternative School (8th grade for Gateway to College).
  • Students and Parents meet with an Academic Adviser.
  • If approved,??Students and Parents attend Orientation for 500 Reach.
  • If approved??for Fairfax Learning Center, students??are??placed on a wait list and will??attend Orientation at FLC once notified??of available space.
  • Community Partners??are??available on site??to provide GED information
Students who have never attended??school in??KCKPS??must enroll through the Welcome Center??prior to the Centralized Alternative??Intake. To save a trip to the Central Office, enrollment can be completed at the Welcome Center??an hour prior to the Centralized Alternative??Intake appointment time. No reservation is??needed for the Welcome Center. The Welcome Center is open M-F, 8 am – 3:00 pm.
The??Required Enrollment Documents for Enrollment at the Welcome Center??include:
Birth Certificate
Proof of Residency by a person named on the Birth Certificate
Immunization record

Content Wednesdays and Quarterly District Professional Learning

Professional Learning for Content Wednesdays and end of Quarter Days will take place at a district level this year. The focus for these days will be on strategies and techniques which will guide our instruction to assist students in reaching the rigor demanded by the standards. Please contact Alan King if you have any questions.

Anniversary Pins

The district is revitalizing the Anniversary Pin Program for staff reaching a milestone work anniversary. At the end of each month, all locations will receive an interoffice envelope containing employee letters from Dr. Foust and the associated anniversary pins. This week, you will receive your letters/pins for employees who reached an anniversary from July 1st ??? Sept. 30th, 2018. Any employee who has reached a milestone in the past and did not receive a pin (5, 10, 15, 20, years etc.) can reach out to Michelle Lynn in the HR office.

Administrators will continue to disperse the letters and anniversary pins for their employees through way of special recognition. If you are in need of ideas how to recognize your staff, please reach out to the HR Directors for assistance. The HR staff will participate in the recognitions throughout the year, and will be in contact with you to gather specifics for your building/department.

Reminder: Permit Window Closed on September 20th

This is a reminder that the permit window for new requests to enroll and babysitting permits was closed on September 20th.

Requests that will be accepted is for families that have moved or keeping the student at their current school.

The Parent and Student Handbook outlines this information on page 5.

Special circumstances regarding family situations do arise and these will be reviewed by Lisa Garcia-Stewart, Director of Student Services.

ESL Staff PL on October 10th

This is a reminder that we are pulling ESL teaching staff for our professional learning on October 10th. EC5 ESL teachers will report to the Central Office from 9:00-11:00; Secondary from 1:00-3:00.
Only teaching staff should report to this PL; ESL instructional aides will have a separate PL session on November 13th.
Middle school administrators please provide coverage so your middle school teachers can be here by 1:00.
