Letters of Intent for Classified Employees – Due May 12, 2016

From Gail Taylor
Please be advised that an envelope containing Letters of Intent for Classified staff in your building is being sent to you within the next day. If I???ve missed someone in your building, please advise me quickly in order that I may provide a letter.

The Letters of Intent are to be given to less-than-261-day employees whose employment will be continuing for next school year, 2016-2017. Letters are not issued for custodians in your buildings, nor nutritional services employees.

Please hand the letter to the employee. It is best not to leave it in a mailbox as we have dealt with situations where there is an accusation that the letter was not received from the administrator.

If a position is being deleted or changed, then a Letter of Intent should not be given for that position. The Classified Change/Delete form is also attached and can be used as applicable and submitted to HR. If you have a classified employee that you are considering not giving a letter or you have a classified position that you are going to eliminate, you need to inform me immediately AND do not give the individual a letter.

Also, if you are working through the process of Progressive Discipline with an employee, do not issue a Letter of Intent. If the employee completes the process successfully, then the letter can be given. If you have an employee who is experiencing difficulty and you are contemplating a recommendation for termination, you must contact Human Resources as soon as possible to discuss the situation and provide documentation. Otherwise, all Letters of Intent are to be issued to employees upon receipt.

Please notify Human Resources if you receive any letters for individuals not presently in your building or if you do not get a letter for someone in your building. It is the responsibility of the employee to return the letter.

Please notify your staff to return the signed and completed Letter of Intent by May 12, 2016, attention: Gail Marie Taylor, PHR, Director of Human Resources. Letters not returned by the deadline may be considered as declining the position for the next school year and may be processed through the Board as a resignation.

Please call me at 279.2355 if you have any questions.

Thank you!
