Use of Kitchen Facilities

From Josh Mathiasmeier
We are in the season of celebrating and many of us are planning appreciation of our own employees during this season. In response, we thought it would be important to remind all staff that no outside food can be brought into the kitchen for cooking or service. If you are interested in purchasing food for celebrations or having a special event, please use the Nutritional Services Request form here. We can purchase, cook and serve for your event and look forward to doing so! In the interest of protecting our students and community from any potential foodborne illness and to maintain compliance with all local, state and federal regulations, it is extremely important that we all follow this policy. If you have questions or concerns, please contact us directly at 627-3900 and we will be happy to assist you. Happy Holidays!

Spring 2015 Student State Assessment Reports

From David Rand
Between now and Thanksgiving break, schools should be receiving printed copies of last spring’s ELA and Math individual student state assessment reports through inter-office mail. Please distribute these reports to parents prior to winter break in the manner that will best ensure the reports make it home. The reports that you receive will be based on your current school year enrollment as of the end of October so you should have very few reports for students that are not in your building this year. We are currently working on a student report in Spanish and will provide those to buildings as soon as they are ready. Please note that these reports were created by the district in an attempt to make them more parent friendly and will look different that student reports you may have accessed in the KITE Educator Portal. If you have any questions regarding these reports, please contact David Rand in DERA. Thank you very much!

Sales Tax on District Purchasing Cards

From Bob Young
Administrators using District Purchasing Cards for the purchase of goods and services need to make sure that sales tax is not being charged as a part of the transaction. The District’s Sales Tax and Use Entity Exemption number is printed on the Purchasing Card for your reference at the time of the transaction. If a hard copy of the document is required by the vendor, the Purhcasing Department can email or fax this document in a very short time.

If you fail to require this exemption at the time of purchase, you will be asked by the Accounts Payable Department (in writing) to solicit a refund from the vendor at the time of payment of your Visa statement. You will be allowed thirty (30) days to resolve this matter. This can been done by contacting the vendor and providing them the information to make the correction and credit your account or, as the card holder, you may reimburse the District for the sales tax charges. This can be handled in the form of a personal check, cashier’s check, or money order. If you have not resolved the matter by the end of the thirty day time frame, your District Purchasing Card will be inactivated.

This may often not be a large amount of money, but it is reviewed and cited by our Auditors when it occurs. Thank you for your help and cooperation with this matter.

Important Reminder About Timesheets – for All Administrators

ESL December Professional Learning – for EC5 Administrators

Important Reminder About Timesheets

From Connie Brand

Please inform your staff that they need to have their timesheet in the timesheet system by end of day today, November 16 in order for them to be paid the next payday.

Any timesheet that will be paid on the 11/30/15 payday must be approved by tomorrow, Tuesday, November 17.

If the timesheet is not approved by Tuesday November 17 the employee will not be paid for that timesheet until the 12/15/15 payday.

We will no longer be cutting paper checks to employees for timesheets that missed the timesheet approval deadline between regular payrolls.

If an employee contacts the Payroll Department about their timesheet and it was not approved by November 17 we will refer them back to you with their questions.

We know this is a shift from the way we have done business in the past but the time has come for us to enforce these deadlines so we can move forward with our new software conversion and the short payroll period.

Thank you for your help and support in this process change.
